Inquiries and follow-up
An inquiry arrives, is recorded, classified, assigned and produces a draft or next step without losing context.
GEMOS · OPERATIONS
We organize and automate processes that currently live across email, WhatsApp, documents and spreadsheets. AI helps interpret and prepare; rules handle repeatable work; sensitive actions stay under human control.

Process-based implementation
We choose a repetitive, measurable workflow —such as inquiries, documents, deadlines or collections follow-up— and turn it into a system with status, owners, exceptions and evidence.
01 · WHAT IT SOLVES
We prioritize frequent tasks with clear rules and a verifiable outcome. You do not need to replace every tool you already use.
An inquiry arrives, is recorded, classified, assigned and produces a draft or next step without losing context.
Invoices, receipts, forms or contracts are organized, useful fields are extracted and missing information is flagged before human review.
Status, dates, owners and reminders stay visible. The system can prepare notices and escalate exceptions.
Using CSV files, spreadsheets or exports, we can compare transactions with deterministic rules and leave only exceptions for review.
Sensitive actions pause until the right person approves, rejects or requests changes.
Each process can retain its source, owner, date, approval, outcome and proof so the team knows what happened and what comes next.
02 · IMPLEMENTATION
We build the minimum that solves the problem first. We expand only when the evidence shows it is worth doing.
We take one real process and define its trigger, outcome, volume, owners and exceptions.
We separate rules, human decisions and the tasks where AI actually adds value.
We integrate the tools the workflow needs: web, email, official WhatsApp, Drive, spreadsheets, calendar, database or API.
We define permissions, limits, approvals, expected failures and action logging.
We run real cases, measure the outcome and document how to operate and scale the workflow.
03 · CONTROL
Autonomy is defined process by process. We start conservatively and expand permissions only after behavior is proven.
04 · DELIVERABLE
Every project leaves a workflow your team can understand, review and operate.
External services, licenses and API usage are identified separately before implementation.
We do not use AI for everything. Classifying free text, extracting information or preparing a draft may need a model. Moving data, validating an amount, checking a date or triggering an alert is usually better handled by deterministic rules. GEMOS designs the workflow and keeps those boundaries visible.
05 · FAQ
Not necessarily. We first review your website, email, WhatsApp, Drive, spreadsheets, CRM or current system. We keep what works and integrate only what the process needs.
Yes, when an official integration or suitable technical access is available. Scope depends on the channel, available permissions and the provider's policies.
We can implement assisted reconciliation from files or structured data and escalate exceptions. Direct bank connectivity depends on available APIs and permissions; we do not ask for banking credentials to improvise an integration.
Not by default. We can prepare a payment, validate data, enforce limits and request approval. Financial execution is considered only when the integration, explicit permissions and controls are adequate.
No. GEMOS organizes the workflow and prepares information. It does not provide notarial services, issue accounting certifications or replace legal or tax advice. The licensed professional retains judgment, responsibility and signature authority.
The workflow must be able to stop, flag the exception and route it to a person. Uncertainty is not solved by inventing an answer.
By process, integrations, volume, risk level and ongoing support. Before building, we make clear what is included, what is excluded and which external services carry a cost.
We review it and define what should be automated, what should remain under human control and how to measure whether the implementation actually improves operations.
